All vehicle rentals are governed by a comprehensive Rental Agreement, which you will receive upon booking confirmation or at the time of vehicle collection. This document outlines specific terms, conditions, insurance coverage, applicable charges, and your obligations related to the rental. In cases of discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Renting a vehicle with Harlow requires:
- To rent a vehicle from Harlow Car Hire, you must be at least 21 years old, though age restrictions can vary depending on the vehicle type. Drivers under 25 may incur additional charges. A valid driving license that matches the vehicle category is required, along with proof of identity and current address. Valid payment information and a security deposit are also necessary, as well as any specific requirements outlined in the Rental Agreement.
Booking and Payment Details
- Reservations can be made via our website, by telephone, or directly at our Harlow location. A deposit may be necessary to confirm your booking. Full payment, along with a security deposit, is generally required upon vehicle pickup. All prices are listed in British Pounds (£) and include VAT when applicable. We accept major credit and debit cards, with transactions handled securely by trusted payment providers.
Vehicle Pickup and Drop-off
- At the time of vehicle collection, it is essential to conduct a thorough inspection and report any pre-existing damage without delay. A vehicle condition report will be created and signed at this stage. Ensure that the vehicle is returned in the same condition as it was collected, accounting for standard wear and tear. Any new damage will be evaluated and may incur additional charges. The vehicle should be returned with the same fuel level as received; refueling fees will apply if it is returned with less fuel. Late returns could result in extra charges, so please notify us as soon as possible if you expect to return the vehicle late. You will be responsible for any parking fines, traffic violations, or charges that arise during your rental, along with an associated administration fee.
Insurance and Liability Terms
- Basic third-party insurance comes standard with every rental. Detailed coverage information and excess amounts are outlined in your Rental Agreement. You may opt for additional insurance to lower your financial liability. It is advisable to read these terms thoroughly. You will be accountable for any damage or loss up to the insurance excess, unless additional coverage is in place. Any damage resulting from negligence, misuse, or violation of these Terms will remain your responsibility, irrespective of insurance provisions.
Cancellation Policy and Modifications
Cancellation and amendment policies differ based on the type of booking and the notice period provided. For precise information, please consult your booking confirmation or Rental Agreement. Be aware that late cancellations or no-shows may incur additional charges.
Restricted Activities
Prohibited vehicle uses:
- Prohibited activities include using the vehicle for illegal purposes, racing, off-roading, or engaging in other dangerous maneuvers. Transporting hazardous materials, sub-letting to unauthorized individuals, or allowing unapproved drivers is not permitted. Driving under the influence of substances, exceeding weight or passenger limits, or operating outside designated geographical areas without prior consent is also forbidden.
Breach of these terms may lead to rental termination and extra fees.
Liability Limitations
To the fullest extent allowed by English and Welsh law, Harlow Car Hire assumes no responsibility for indirect, incidental, or consequential damages, including loss of profits, data, or business, related to your use of our services. Our total liability for any claims is capped at the amount paid for rental over the past 12 months. This limitation does not affect liability for death or personal injury resulting from negligence or fraud.
